How do I keep school email straight with more than one kid?

Sort each school, team and activity email by kid as it comes in, pull the action items out right away, and keep the whole week in one view. One email at a time is manageable. The trouble starts when a single newsletter has something for every kid and the rest of the week’s email comes from a dozen other places.

We’re a blended family with three kids in three schools. Two are in one school district and one is in the other, so we get two district calendars and two sets of school apps. Days off don’t line up either. One district’s teacher planning day can be a normal school day in the other.

This is what we learned keeping track of it all, before we built ParentDeck.

Make a list of everyone who emails you

You can’t sort email until you know who sends it. For each kid, write down:

  • the school and the district
  • teachers who email you directly
  • teams, clubs and activities
  • the apps the school uses for messages, forms, payments and photos

Then search your inbox for each school name, team name and teacher’s last name, and note the address each email comes from. A lot of it comes from a platform instead of the school. The common ones are ParentSquare, Infinite Campus, Schoology, FinalForms, sportsYou, PaySchools, Peachjar and Jostens. Look in your spam folder while you’re at it, since school email sometimes ends up there.

File things under the kid

Folders named after senders (“ParentSquare,” “District”) don’t help much. One platform can send for all three schools, and one district email can be about every kid you have.

We ask one question about each item: which kid is this for, or is it for the whole family? A school closing goes to everyone. A field trip form goes to one kid. When an email covers more than one kid, it has to show up in more than one place.

Pull out anything you have to do

Most school email is just information. A few lines in it ask you to sign something, pay something, send something in or reply by a date, and those are the lines that get lost in paragraph four of a newsletter. Our guide How do I stop missing school deadlines buried in email? goes into this.

Plan from the week

Your inbox is sorted by what arrived last. Your family runs on what’s happening this week: who has practice at 4:30, which day is early dismissal, what’s due Friday. Put every kid’s week next to each other and the 4:30 Thursday conflicts jump out.

How ParentDeck does this

You set up forwarding once from Gmail, iCloud or Outlook.com. ParentDeck suggests which senders to forward, puts each item under the right kid or Everyone, and shows what needs action, what’s today and what’s coming. The Week Map puts every kid’s week side by side, next to your school district calendars, so both of our districts sit in one view. If something lands under the wrong kid, move it and tell ParentDeck to always sort that sender or team to that kid. See how it works.

An example family.
